1)       INTRODUCTION

 

As the provider of AutoPilot Events, SJA Media Partners LLC (“SJA”, “we”, “our” or “us”), is committed to protecting the data you share with us.  This policy (“Privacy Policy”) describes the ways we collect, store, use and protect the personal information we receive from our customers, users and website visitors (“Personal Data”).

 

This Privacy Policy applies to AutoPilot Events and their services, including any mobile applications, and related websites located at app.autopilotevents.com  (“Website”) (collectively, the “Software”), as well as other online interactions that you may have with us including live chat, customer support inquiries, webinars, events, etc., and describes the manner in which Personal Data is processed.

 

Please carefully review this policy and the documents incorporated here by reference. If you do not agree with the Privacy Policy, or with the Terms of Use (https://app.autopilotevents.com/pl/lurn/terms.html), do not access or use the Software.

 

2)       COLLECTION AND USE

 

Personal Data refers to information that can be used or combined with other information to identify you, contact you, or locate you, and includes information such as your name, company name, email address, billing address, payment information, or any other personal information that is provided to us by you, whether mandatory or voluntary.

We collect Personal Data that you voluntarily submit directly to us when you access or use the Software. This can include information you provide to us when you register for an account, complete a form, correspond with us, subscribe to our mailing lists, newsletters or other forms of marketing communications, respond to surveys, publish materials, or use some other features of the Software. We also gather information about the location, device, and operating system used by users of the Software in order to guide future development of our services.

 

We may anonymize and aggregate any of the personal information we collect, including information about our website visitors or customers (so that it does not directly identify you or them).

 

The following sections cover specifics for each of the groups from which data is collected: (1) Website Visitors and (2) Software Users.

 

a)                   Websites Visitors

 

If you are a visitor to any of our Websites (“Visitor”) and are not a registered user of the Software, then this section applies to you.

 

By visiting the Websites, you consent to the collection and use of certain of your Personal Data as described in this policy. If you do not agree with these data collection practices, please do not visit any of our Websites. If required by applicable law, we will seek your explicit consent to process Personal Data collected on our Websites or volunteered by you. Kindly note that any consent will be entirely voluntary. However, if you do not grant the requested consent to the processing of your Personal Data, use of our Websites may not be possible.

 

i)         Data collected

We may collect, record and analyze information about Visitors to any of our Websites.  Collected Personal Data may include your first name, last name, and email address. We may also record IP addresses, use cookies, and add information collected by way of page-view activity. Furthermore, we may collect and process any Personal Data that you volunteer to us in our Websites’ forms, such as when you request a demo or certain thought leadership or marketing content from the Website such as white papers, case studies, articles, and other materials.  We also gather data about visits to our Websites, including numbers of Visitors and visits, Geo-location data, length of time spent on the site, pages clicked on or where Visitors have come.

 

ii)       The purpose of processing personal data

 

We use the collected data to communicate with Visitors, to provide information requested by Visitors, to show ads, to market our services, and to improve the Websites by analyzing how Visitors navigate it.

 

We also use and collect Personal Data submitted through our Websites for the following purposes:

 

   Remembering who you are on the Websites in order to prevent you from needing to fill in multiple forms over and over again (such as when requesting white papers).

 Identifying potential new clients who have interacted with us on our Websites.

   If you have subscribed to receive emails from us, contacting you with marketing and informational materials related to the Software.

 

iii)     How long is my information stored?

 

Information collected from Visitors will be stored for up to two years or until we receive a data deletion request. If a Visitor becomes a registered User of the Software, Personal Information will be stored for as long as needed to perform the Software’s services.  You can request data deletion by contacting support@sjamedia.com.

 

iv)     How can I manage my personal information ?

 

If you wish to update, remove, or add to the information collected by our Website, you may submit your request to support@sjamedia.com.

 

b)                  Software Users

 

If you are a registered user of the Software (“User”), then this section applies to you.

 

By using the Software, you consent to the collection and use of your Personal Data in the manner described in this policy. If you do not agree with these terms, please do not access or use the Software. As required by law, we will seek your explicit consent to process Personal Data collected by the Software. Kindly note that any consent will be entirely voluntary. However, if you do not grant the requested consent to the processing of your Personal Data, use of the Software may not be possible.

 

i)         Data collected

When opening your account or creating a new user profile for the Software, you submit certain personal information to us which is associated with your account. This includes your first name, last name, email address, and information that you enter during the course of your use of the Software. Certain information is collected automatically, including information about how frequently you access the Software, the time you access the Software, and how long you use it, and other actions you take.

 

During the course of your use of the Software, we may collect certain data about your business and products. We may also process information about individuals that are your subscribers or customers, or the subscribers or customers of your business.

 

We do not collect any payment related information. All payments are processed via reputable third-party payment processors.

 

ii)       The purpose of processing personal data

 

We use data collected from the creation and use of a User account to provide and administer the Software’s services, analyze use of various features of our services, to collect and report use metrics, to troubleshoot and debug our services, to notify you about changes to the Software services relevant to your account or user profile, market other services offered by us or by third parties, and to identify Users who submit support tickets in order for us to provide direct and effective customer support.

 

We periodically post customer and user testimonials on our Websites which may contain Personal Data such as the User’s name. We obtain User consent prior to posting testimonials. If you want to remove your personal information that is being displayed on our Website under public pages please send your request to support@sjamedia.com.

 

The content of any comments or messages, along with identifying information, sent by a User through the Software will be disclosed to us and to other Users to whom a message may be directed, or if in a public comment section, to Users that have access to that comment section.

 

iii)     How long will my information be held?

User data shared with the Software will be stored for long as needed to provide the Software’s services, and at least for as long you have a registered Software account. Once a User account’s registration lapses and services are no longer being provided, we will delete or anonymize information associated with that former User within one year from the account’s lapse date.

 

iv)     How can I manage my personal information ?

 

You may update your Personal Data by making changes within the Software’s account settings page. However, you may alternatively send a request to support@sjamedia.com with the information that you wish updated, added, or removed. We will require verification of your identity before making any changes to your account.

 

v)       What happens if my User account is closed?

 

If your User account is closed due to a violation of the Terms of Service, or at your request, you may contact us to request the deletion and anonymization of your data stored in our servers. Each request of this type will be examined on a case-by-case basis and we will act in accordance with legal requirements. Unless contacted sooner, we will delete information for closed accounts within one year from the date the account was closed.

 

3)                   SHARING PERSONAL DATA

 

We may share Personal Data with third-party service vendors or contractors in order to provide a requested service or transaction, or in order to analyze behavior on our Websites or the Software. We may use third-party vendors for purposes of data storage (e.g., Rackspace), communications (e.g., AWeber), advertising, payments, research, surveys, or analytics (e.g., Google Analytics). We encourage you to review the privacy policies of any such third-party vendors before using them.

 

In the event that SJA is acquired or transfers some or all of its operations or assets to another company, information collected, including Personal Data, may be one of the assets so assigned. You consent to such a transfer of your Personal Data, provided that the transferee shall be bound by the terms of the Privacy Policy in effect at the time of its collection.

 

We will reveal an individual’s Personal Data without prior permission only when we have reason to believe that the disclosure of this information is required to establish the identity of, to contact or to initiate legal proceedings against a person or persons who are suspected of infringing rights or property belonging to us or to others who could be harmed by the user’s activities or of persons who could (deliberately or otherwise) transgress upon these rights and property. We are permitted to disclose personal information when we have good reason to believe that it is legally required.

 

4)                   STORING PERSONAL INFORMATION

 

Data we collect is stored using Rackspace’s servers located in the United States and/or other countries selected by Rackspace. By using the Software, you acknowledge that your personal information will be transmitted to, stored, and accessed in those server locations. Our Websites use third-party & analysis tracking tools and whose servers may be located in any country in which these third parties have their facilities.

 

The Personal Data we collect may be transferred to and stored in countries outside of the jurisdiction you are in where we and our third-party service providers have operations. If you are located in the European Union ("EU"), your personal information will be processed outside of the EU including in the United States; these international transfers of your personal information are necessary for the performance of the Software.

 

5)                   COOKIES

 

The Software and our Websites use “cookies”. Cookies are small pieces of information sent by a website or application to a visitor’s hard disk. By continuing to visit our Websites or the Software, you agree to the placement of cookies on your device. If you choose not to accept our cookies, we cannot guarantee that your experience will be as fulfilling as it would otherwise be. 6)                   LINKS TO OTHER SITES

 

While visiting our Websites or using the Software, Visitors and Users can follow links to other sites or services that are beyond our sphere of influence. Please take care to review these sites or services, and their privacy policies. We are not responsible for the content or privacy policy of these other sites or services.

 

7)                   HOW IS MY INFORMATION PROTECTED?

 

We take appropriate technical and organizational security measures against loss or unlawful processing of Personal Data. To this purpose, your personal data are securely stored within our database, and we use standard, industry-wide, commercially reasonable security practices such as encryption using 256-bit SSL-encrypted connections and firewalls as well as physical safeguards of the locations where data are stored

Please take all steps necessary to maintain the security of your account access credentials. You are responsible for maintaining the secrecy of your unique password and account information, and for controlling access to your email communications from the Software, at all times.

 

8)                   EUROPEAN DATA PROTECTION AND OWNERSHIP

 

Individuals located in the European Union have a legislated right to change, request deletion of, or know the extent of personal information collected by organizations. Unless required to do otherwise by law, we will honor requests to update, correct, change, or delete personal data following successful identity verification.

 

For Users and Visitors from the European Union, all processing and transferring of Personal Data is performed in accordance with privacy rights and regulations following the General Data Protection Regulation (GDPR). We have adopted reasonable physical, technical and organizational safeguards which substantially mirror the EU safeguards against accidental, unauthorized or unlawful destruction, loss, alteration, disclosure, access, use or processing of the personal data in our possession. We will promptly notify Users in the event of any known unauthorized access to, or use of personal data.
